How a three-branch homeopathy practice in Pune stopped phoning branches for prescriptions

Dr. Tathed's Homeopathy And Healing Center is a Pune homeopathy practice running for almost three decades, with three branches. Accucia built the system that became RevisitPlus inside this practice. Today one patient record serves all three branches, so a doctor at any branch sees the last prescription without a phone call, and the owner sees every branch on the web and Android.

The practice

Dr. Girish Tathed founded the practice almost three decades ago. Today it runs three branches in Pune, with Dr. Pratik Jain as Chief Homoeopath. Much of its work is chronic care: alopecia areata, childhood asthma, anxiety, nephrotic syndrome, hair loss. That kind of treatment is measured in months, not visits. A patient may see the practice every few weeks for a long stretch, sometimes at more than one branch.

The practice also offers online consultations and runs treatment schemes, where a patient signs up for a defined course of care. Each of those adds something to track: who is on which scheme, when the next visit is due, what was prescribed last time and where.

Patients choose the branch that suits their day, often because it is nearer the office. For the patient, it is one practice. For a long time, the records did not behave that way.

Before: the five leaks, as they showed up here

Every growing clinic has the same five gaps between steps. This is how they looked at Dr. Tathed's before the system went in.

The branch leak.

A patient walked into a branch other than the one holding the file. To prescribe, the doctor needed the last prescription. So someone called the other branch and waited while it was found.

The enquiry leak.

Enquiries came in from Facebook and from the practice's website, alongside phone calls and walk-ins. They lived in different places. There was no single list to call back from, and no easy way to see which enquiries became patients.

The follow-up leak.

In chronic care the follow-up is the treatment. With records split by branch, a patient who missed a due visit at one branch was easy to lose sight of, especially if they later appeared at another.

The counter leak.

Payments came in by cash, UPI and card at three counters. Receipts and day-end totals were put together branch by branch.

The visibility leak.

Treatment schemes were tracked by hand. Seeing the whole practice, across three branches and several doctors, meant asking each team and putting the answers together. Coordination took the time that should have gone to patients.

What Accucia built

The Accucia team built and configured each part around how the practice already worked.

Receptionist Dashboard with demo data: registering a patient at the Kothrud branch
Doctor Dashboard case history for demo patient Mrs. Deshpande, seen by Dr. Kulkarni
Owner Dashboard branch view with demo data across Kothrud, Wakad and Hadapsar

Leads

Facebook lead-form and website enquiries arrive in one list on their own, and reception adds phone, WhatsApp and walk-in enquiries to it. Reception calls each one, logs the call, and books the first visit. The enquiry becomes a registered patient, so the practice can see which enquiries turned into patients.

How it went live

Configured, not rebuilt.

The setup started from the practice's own shape: three branches, its doctors, its treatment schemes, its lead sources and the appointment statuses reception already used. The screens used the practice's words.

Old records, added in the flow of work.

There was no separate data-entry project and no week of closed counters. Doctors added a patient's older history during normal consultations, when that patient came in. The patients seen most often were in the system first, which is where a shared record matters most.

Changes as the team asked.

Once people used it every day, they asked for changes. The same Accucia team that built it made those changes, inside configuration, without a new project each time. It is the part of working with Accucia that the practice brings up in the video.

In Dr. Pratik Jain's words

“We are running three branches, so it was very difficult to manage and coordinate with all the teams. What this software has really helped with is organizing the data in a systematic way.”

Dr. Pratik Jain, Chief Homoeopath

“As we have three branches, patients can go from one branch to another, so earlier we had to call and find out what the last prescription was. Through the software, without calling anyone, we can just see it in the software and go ahead with the next prescription.”

“They have always been very cooperative with our changes, and they have customized it as per our liking.”

What we measure next

You will notice there are no percentages on this page. That is deliberate. We do not publish outcome percentages until they are measured from the system and signed off by the clinic. A before-and-after figure needs a clean "before", and paper registers rarely give one.

What we track now, from the system itself:

Metric What it shows Where it comes from
Revisit Rate The share of patients who come back for their next scheduled follow-up, by branch, doctor and scheme Follow-up dates and visits in the Doctor Dashboard
Enquiry to first visit How many Facebook and website enquiries became a first consultation The Leads module, from enquiry to registered patient
Repeat patients Patients returning month on month, by branch MIS Reports
Day-end variance The gap between expected and counted collections, by payment mode and branch Payments and the Owner Dashboard

When these numbers have run long enough to mean something, and the practice has signed them off, they will be published here with the period and the method. See how Revisit Rate is defined.

What this means for your clinic

If you run two or more branches, or you are about to open the second, the problems on this page are probably yours too.

The phone call to the other branch.

The enquiries in three places.

The follow-up nobody noticed was missed.

What worked here was not a new way of practising homeopathy. It was the same practice, with one record instead of three, and a screen for each person that matched their day. The software was fitted to the clinic. Your setup would start the same way, from your branches, your doctors and your schemes, and it would go live one branch at a time.

Frequently asked questions

Is the software at Dr. Tathed's the same RevisitPlus other clinics get?
Yes. RevisitPlus started as the system Accucia built for this practice. Other clinics get the same product, configured to their own branches, doctors and schemes.
Did the practice stop work to enter old records?
No. Doctors added older patient history during normal consultations, as each patient came in. There was no separate data-entry project.
Which modules does the practice use?
Leads, Receptionist Dashboard, Doctor Dashboard, Owner Dashboard, MIS Reports, WhatsApp messages and one patient record across all three branches, on the web dashboard and the Android app.
Why are there no results figures in this case study?
We do not publish outcome percentages until they are measured from the system and signed off by the clinic. The metrics being tracked are Revisit Rate, enquiry to first visit, repeat patients and day-end variance.
